Privacy Policy

1.Who we are

OutcomAI, Inc. (“Outcom”, “we”, “us”) is the controller of the personal information described in this policy. You can reach us about privacy at legal@outcom.ai.

This policy covers information collected through outcom.ai. If you become an Outcom customer, the information we process on your behalf through the platform is governed by the agreement you sign with us, and we will provide the relevant privacy terms as part of it.

2.What we collect

• Information you give us. When you request a demo or contact us, we collect your name, work email, company, and anything you choose to write in the message field.
• Analytics, only with your consent. If you accept analytics cookies, Google Analytics collects standard measurement data such as pages viewed, approximate location derived from IP address, and device and browser type. If you do not consent, Google Analytics is not loaded at all.
• Technical logs. Our hosting provider records standard server logs, including IP address and request details, to keep the site running and secure.

We do not collect special category data through this website, and we ask that you do not send it.

3.Why we use it, and on what basis

• To reply to you. When you ask for a demo, we use your details to get back to you and to have that conversation. Our basis is our legitimate interest in responding to enquiries about our product, and taking steps at your request before entering into a contract.
• To understand how the site is used. Basis: your consent, which you can withdraw at any time.
• To keep the site secure and working. Basis: our legitimate interest in operating and protecting our own website.
• To meet legal obligations where they apply to us.

We do not sell personal information, and we do not use it for automated decision-making.

4.Who receives it

We share personal information only with service providers who help us run the site, under contracts that limit what they may do with it. Today that means Google: Google Analytics for website measurement, which runs only if you consent to analytics cookies, and Google Workspace, which receives and stores the demo requests submitted through this site.

We may also disclose information where we are legally required to, or to establish or defend legal claims, and in connection with a merger, acquisition or sale of assets, in which case we will tell you if your information becomes subject to a different policy.

5.International transfers

We are based in the United States, and the providers above process information there. Where personal information is transferred out of the European Economic Area or the United Kingdom, we rely on the European Commission's Standard Contractual Clauses, together with the UK International Data Transfer Addendum where applicable.

6.How long we keep it

We keep enquiries, including demo requests, for 24 months from your last interaction with us, and then delete them. Analytics data is retained for no longer than 26 months. Server logs are kept for a short period for security and troubleshooting. We keep information for longer only where the law requires it.

7.Your rights

Depending on where you live, you may have the right to access the personal information we hold about you, to have it corrected or deleted, to object to or restrict how we use it, to receive it in a portable form, and to withdraw consent at any time. Withdrawing consent does not affect anything we did before you withdrew it.

To exercise any of these, email legal@outcom.ai. We respond within one month. If a request is complex we may extend that by up to two further months, and we will tell you within the first month if we do. We may ask for information to confirm your identity, and we will use it only for that.

If you are in the EEA or UK and think we have handled your information badly, you can complain to your local data protection authority. We would appreciate the chance to put it right first.

8.Cookies

We use strictly necessary cookies to make the site work and to remember your cookie choice, and optional analytics cookies that are off unless you turn them on. We run no advertising, remarketing or personalisation cookies. Full details, including names and durations, are in our Cookie Notice, where you can also change your choice at any time.

9.Security

We use appropriate technical and organisational measures to protect personal information, including encryption in transit and access controls. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

10.Children

This site is intended for business use and is not directed to anyone under 18. We do not knowingly collect personal information from children.

11.Changes

If we change this policy we will update the date at the top of this page, and where the change is material we will say so more prominently. If we materially change what we use cookies for, we will ask for your consent again.
